How much does a B2B case study cost in 2026

Case study quotes start at $25 and climb fast. See 2026 costs for in-house, freelance, agency, video and G2 review options from EFA, BLS and Upwork data.

How much does a B2B case study cost in 2026

A written B2B case study costs about $384 to $1,200 in writing fees in 2026 for a 1,200 word story at the Editorial Freelancers Association’s 2026 business and marketing rates of 32 cents to $1.00 a word, while Upwork lists case study packages starting at $25 to $285. Add an interview transcript, a copyedit and the customer’s approval, and a finished, published story comes to about $490 to $1,330 from a freelancer working at those rates.

Those two numbers describe different products. The EFA chart, built from more than 1,100 survey responses collected from November 2025 through mid-January 2026, reflects what working writers charge for researched business copy. The Upwork listings mostly promise delivery in one or two days, which leaves no time to interview a customer, so treat them as a floor, not a quote.

The other choices are a staff writer, an agency, a video crew, or skipping the story and sending customers to G2, TrustRadius or Gartner Peer Insights instead. Here is what each one costs.

How much does a B2B case study cost in 2026?

A written case study costs from $25 to well over $1,000 depending on who writes it and how much of the work they own. Upwork packages sit at the bottom, EFA freelance rates in the middle, and agencies, which publish no standard price, at the top. Video and review platforms price on a different model entirely.

Prices below come from the EFA 2026 Rate Chart, Upwork’s published rate pages and service listings, the Bureau of Labor Statistics Occupational Outlook Handbook and G2’s vendor plans page, all read in October 2026. Per story figures assume a 1,200 word case study and are our arithmetic on those published rates.

The pattern: the writing is rarely the expensive part. Recruiting a customer who will go on record, interviewing them well and getting a signature on the final draft is where time and money go.

What drives the price of a case study?

Four line items drive the price: the customer interview, the writing, the editing, and the approval cycle. The EFA chart prices the middle two directly. Upwork and the BLS help price the rest, and the approval cycle costs time more than money.

1. The customer interview

A real case study needs at least one 30 to 60 minute call with the customer, and often a second with your account manager. The EFA chart lists transcription at $1.50 to $1.75 per audio minute, so a 45 minute interview costs about $68 to $79 to transcribe by a person. Many writers now use automated transcripts and fold the time into their fee. Ask which one your quote assumes, because a writer who never hears the customer will write from your sales notes.

2. The writing

The EFA 2026 chart lists business and marketing work-for-hire at 32 to 87.5 cents a word, or $65 to $75 an hour, and ghostwriting in the same category at 50 cents to $1.00 a word, or $87.50 to $125 an hour. Technical work-for-hire runs $1.00 a word. A 1,200 word story therefore costs $384 to $1,050 on work-for-hire terms, $600 to $1,200 ghostwritten, and about $1,200 for a technical deep dive in software, security or engineering. The EFA says its figures are for guidance only, not recommended rates.

3. Editing, design and layout

The EFA lists business copyediting at 3 to 4 cents a word, so a 1,200 word draft costs $36 to $48 to copyedit. Design is a separate bill. A one page PDF with a pull quote and three result numbers is simple; a fully designed sales asset can cost as much as the writing. Upwork’s own case study listings include design-only services starting at $50.

4. The approval cycle

Approval is the hidden cost. The customer’s marketing lead, often their legal or communications team, and sometimes their procurement contract all have to clear the draft. In our experience it routinely takes longer than the writing itself, and stories die here more often than anywhere else. Budget the writer’s revision rounds and your own follow-up time, and agree on approval rights before the interview, not after the draft.

Is it cheaper to write case studies in-house?

Usually yes per story, if you already employ the writer. The Bureau of Labor Statistics reports a May 2025 median wage of $36.98 an hour for writers and authors and $43.46 for technical writers. At 12 to 15 hours per story, that is roughly $440 to $650 in salary time.

That hour estimate is ours, not a BLS figure, and it covers prep, the interview, drafting, revisions and approval follow-up. It also leaves out benefits, payroll tax and software, which raise the true cost of an hour.

Two more BLS figures shape the decision. Writers and authors earn a median $76,910 a year, and technical writers $90,390, so a dedicated hire only makes sense when case studies are part of a steady content load. And about 65% of writers and authors are self-employed, which means a deep bench of freelancers for anyone who needs four stories a year rather than forty.

The in-house trap is not cost, it is attention. Content Marketing Institute’s B2B Content and Marketing Trends: Insights for 2026, a survey of more than 1,000 B2B marketers, found 9 in 10 use AI to produce content but fewer than 4 in 10 say it has improved performance. A case study is the one asset AI cannot draft without the interview, so it is the first to slip when the staff writer is busy.

What does a video case study cost?

A video case study costs far more than a written one because it adds crew time, travel, filming and editing. No major platform publishes a package price. Upwork lists a median of $35 an hour for videographers, with a typical range of $10 to $53, and that rate covers only one person’s time.

A customer video usually needs a pre-interview, a shoot day at the customer’s site or a remote recording, editing, captions and the same approval cycle as a written story, often with more people watching the cut. Each of those steps adds hours, and travel adds expenses on top.

Pick video for one or two flagship customers whose faces and words carry weight in a sales call, then cut the same interview into a written version for your site. Our breakdown of marketing video production costs covers the tiers in more detail.

Are G2, TrustRadius and Gartner Peer Insights cheaper than case studies?

For software vendors, review platforms can be cheaper per piece of proof, but they are not a substitute. G2 offers a free profile with basic review collection, and its Starter plan costs $299 a month or $2,999 a year. TrustRadius does not publish vendor pricing.

5. What the platforms charge and allow

G2’s plans page lists Starter at $299 a month with no contract, or $2,999 a year, rising to $599 a month or $6,000 a year in year two, with Professional and Enterprise priced through sales. Gartner Peer Insights offers new vendors 50 Gartner-funded $25 gift cards to use in their first six months, caps incentives at under $25, and lets vendors fund their own cards up to $5,000 per market per year. Reviewers must be qualified IT professionals or technology decision makers, and Gartner’s moderation team decides which reviews publish.

The buyer data favors reviews. TrustRadius, an HG Insights company, surveyed 1,862 technology buyers in January 2026 for its 2026 B2B Buying Disconnect Report and found 74% use reviews to inform purchases, 63% used AI during the purchase journey, and 83% shortlisted three or fewer products.

The limitation is control. A reviewer writes two paragraphs about what they liked; a case study shows the problem, the numbers and the timeline. Most software vendors need both, and nothing on these platforms helps a services firm, a manufacturer or a law practice that buyers will never look up on G2.

How do you choose the right option for your budget?

Choose by who owns the hard steps. If you have a staff writer and a customer ready to talk, keep it in-house. If you have the customer but no writer, hire a freelancer at EFA rates. If you have neither the time nor the relationships, pay for an agency that chases approvals.

A simple sequence for most B2B teams:

  1. Pick a customer with a measurable result and a named champion who will approve the draft.
  2. Agree on naming rights and an approval window in writing before anyone books an interview.
  3. Price the writing at EFA rates and compare any quote against $384 to $1,200 for 1,200 words.
  4. Publish the story as a page on your site, not only a gated PDF, so search engines and AI assistants can read it.
  5. Reuse the interview for a review request on G2 or Gartner Peer Insights if you sell software.

Publishing is where the spend pays back. TrustRadius found 94% of buyers who used AI fact-check its answers at least some of the time, and a named, dated case study is something they can check. Our guide to writing case studies AI engines cite covers the structure. Earned coverage that repeats those results in trade press is the other half, and it is the work Subscribe PR does through its services.

FAQ

How much should a B2B case study cost?

A freelance B2B case study of about 1,200 words costs $384 to $1,200 in writing fees at the Editorial Freelancers Association’s 2026 business and marketing rates. Add $68 to $79 for a human transcript of a 45 minute interview and $36 to $48 for a copyedit. Upwork packages start lower, at $25 to $285. Agencies publish no standard per-story price, so ask for a line-item quote.

How long does it take to write a case study?

The writing takes days; the whole project often takes weeks. Plan one interview, a first draft within a week, one or two revision rounds and then the customer’s review. In our experience approval is the slowest step, because the customer’s marketing, legal or communications team has to clear every name and number. Agree on an approval window before the interview to keep the project from stalling.

How long should a B2B case study be?

Most written B2B case studies run 800 to 1,500 words, long enough to cover the customer, the problem, the solution and the measured result with a quote or two. We price examples at 1,200 words in this guide. Longer technical stories for software or engineering buyers can cost about $1.00 a word under the EFA’s 2026 technical writing rates, so length and depth move the price.

Is a video case study worth the extra cost?

A video case study is worth it for one or two flagship customers whose words will be used in sales calls and on your homepage. It adds crew time, travel and editing on top of the interview, and Upwork lists videographers at a median of $35 an hour before any of those extras. For most stories, a written page with a short clip from the interview costs less and is easier to update.

Can customer reviews replace case studies?

Reviews can supplement case studies but rarely replace them. TrustRadius’s 2026 B2B Buying Disconnect Report found 74% of technology buyers use reviews to inform purchases, so software vendors should collect them on G2, TrustRadius or Gartner Peer Insights. A review is short and written by the customer, though, while a case study shows the problem, the method and the numbers in one place.

Should I hire a freelancer or an agency for case studies?

Hire a freelancer if someone on your team can recruit the customer, schedule the interview and chase approval; EFA rates put the writing at $384 to $1,200 a story. Hire an agency if nobody has that time, and confirm in writing that customer outreach and approval follow-up are included in the fee. An agency that only writes is an expensive freelancer.

The short answer

Price a B2B case study by the work around the words, not the words. Writing 1,200 words costs $384 to $1,200 at EFA rates, and an in-house writer spends roughly $440 to $650 of salary time at BLS median wages. What separates a $25 Upwork package from an agency story is who interviews the customer and who gets the final draft approved. Buy the cheapest option that still covers those two steps, publish the result where buyers and AI assistants can read it, and collect reviews alongside it if you sell software.
